GBM MOM held on 18.10.2020

Dear members,
The minutes of the meeting of the GBM conducted today is as follows;
General Body meeting held on 18th October 2020 called up by General body members:

GBM was called for by the members of SFOWA for initiating the process of election to elect the new Exe Comm of SFOWA. The meeting was to start by 10.00 am on 18.10.2020 but due to lack of quorum the meeting was postoned to 10.30 am and was started by 10.35 am with the available and present members.
During the meeting, Shri Soumik Chakraborty of S2 408 block was nominated by Shri Unni of J block and this nomination was seconded by Shri Senthilkumar  of k2 102 block. 

As no other nominations were received, Shri Soumik Chakraborty of S2 408 block has been declared elected as Election Officer (EO) by the General Body. 

The EO was asked to select an Assistant Election Officer(AEO). EO had selected Shri V.N Ganesh Malla of K2 404 block as AEO. The GBM had approved Shri V.N.Ganesh Malla as AEO. It is also approved by GBM that in any case, the EO could not discharge his duties of election officer for any reason, the AEO will act as EO.
EO also selected additional members for supporting the conduct of elections.

Terms of reference for EO is as follows;

1. Conduct elections of SFOWA as per the provisions of TN General Election Rules, TN Soc Regn Act and the regd. By law.
2. Receive all the association related documents, assets, and other related materials from the old Exe Comm and hold it in custody. This material should be handed over to the new Exe Comm immediately after elections. 
3. Conduct membership drive to add new members to SFOWA based on the extant legal provisions.
 4. File the return of income of the assn. in consultation with the auditor (The last date being Nov 30. not filing can result in a fine)

The records of expenses of the election will be handed over to the new EC team by the EO who will reimburse the election expenses incurred after due verification.
The above is approved by the GBM.

Thanks expressed towards  Shri Sowrirajan and Shri Ravishankar of the old Exe Committee for having supported this GBM. I further request the old exe committee team to hand over the assn related documents with them to the newly elected EO as per the request of the General Body and oblige.
